How to Schedule a Videoconference
Guide to Videoconferencing in Harrington (Links to a MP3 audio file)
1. At Least A Week in Advance of Your Conference
- Harrington Videoconferencing Rooms: 614, 503, 408, or 413
Harrington Room Info - Check the Calendar for room availability;
- Schedule the videoconference (see steps 2-4 on this page below);
- Complete the Request a Videoconference FORM;
- Practice Using Equipment and create a test connection!
- Create a back-up plan in case technical problems cause your connection to fail (provide a copy of your presentation on a web site and/or have a paper copy of your presentation or plan to videotape your presentation and/or make sure of room telephone numbers so that if all else fails you can use a speaker phone for a teleconference between sites);
2. Information Required:
- Name, email and phone numbers of persons involved in conference,
- Date, day of week, start time, and end time,
- List of participating sites, technical contact person, contact information (phone and email),
- Brief description of the meeting and/or a meeting title.
3. Connecting to a TTVN (Texas A&M Videoconferencing Network) site
- Sites are listed on their web site: http://ttvn2.tamu.edu/
- If site not listed, then site will have to test with TTVN before reservation is confirmed

4. Connecting to a Site that is not on the TTVN network (via Internet Protocol) Ask each site to supply the following information
- IP address and connection rate
- Type of CoDec
- HELP phone number and/or Room phone number
- List of IP address, contact information
