1. At Least A Week in Advance of Your Conference

  • Harrington Videoconferencing Rooms: 614, 503, 408, or 413

  • Check the Calendar for room availability;
  • Schedule the videoconference (see steps 2-4 on this page below);
  • Complete the Request a Videoconference FORM;
  • Practice Using Equipment and create a test connection!
  • Create a back-up plan in case technical problems cause your connection to fail (provide a copy of your presentation on a web site and/or have a paper copy of your presentation or plan to videotape your presentation and/or make sure of room telephone numbers so that if all else fails you can use a speaker phone for a teleconference between sites);

2. Information Required:

  • Name, email and phone numbers of persons involved in conference,
  • Date, day of week, start time, and end time,
  • List of participating sites, technical contact person, contact information (phone and email),
  • Brief description of the meeting and/or a meeting title.

3. Connecting to a TTVN (Texas A&M Videoconferencing Network) site

  • IP address and connection rate
  • Type of CoDec
  • HELP phone number and/or Room phone number
  • List of IP address, contact information
